DIY Welcome Bags

One major perk of being in the Arizona wedding industry is that we get to connect with brides and grooms, hear their stories and explore how they planned their weddings. Basically, we get the inside track and share the goods with you! Emily, a real Arizona bride, contacted us about her wedding and once we discovered she had a knack for DIY, we jumped on the chance to write about her DIY welcome bags.

With about 50% of their guests coming in from out of town to attend their wedding, Emily & Joey wanted to make their DIY wlecome bags special. Here’s the lowdown on exactly how they did that:
I purchased design proofs from a couple of different Etsy vendors for the welcome bag tag, door hanger and itinerary then printed them at Kinko’s
-I also purchased the ikat pattern on Etsy and then had it printed on gloss card stock so that I could make the bag toppers and water bottle labels myself. 
-Arizona maps and magazines are free if you contact the Arizona Office of Tourism 
-We picked up the awesome vintage reproduction Arizona postcards (which are actually pretty hard to find) at a middle of nowhere gas station near the Grand Canyon when we were driving down from Seattle for the wedding. 
 
What do you estimate each bag cost? $5

Any tips for couples wanting to create their own welcome bags? Start brainstorming ideas early on in your wedding planning time frame so that you have plenty of time to put together something that really represents you as a couple, goes with the theme of your wedding, but is also practical and can genuinely add to the guests’ experience during their stay. Attention to small details really do make a big difference in the end from a guest’s perspective. For example, I had several guests thank me for including small bags of peanut butter pretzels and gummy bears in our welcome bags because they had been traveling all day without a chance to really eat anything, so by the time they arrived to the resort and looked in the welcome bags, they were relieved to have something salty and sweet to snack on without having to leave the hotel room or wait for room service.

Did you use Phoenix Bride & Groom magazine as a resource while planning your wedding? Yes! I really loved the Real Weddings features because wedding planning can be so intimidating when you are looking at high-budget editorial styled shoots in many other magazines, online, etc., so it is really helpful to be able to see what actual weddings end up looking like to give yourself realistic goals and expectations. 

What did you love most about your wedding and what advice would you give couples planning their weddings so they enjoy their wedding days to the fullest? I loved the ceremony the most – it took place right at sunset out on the terrace of SoHo63 in front of the fireplace, which we also decorated with a bunch of mismatched candles, giving it a really intimate and romantic feeling. It was perfect and we enjoyed every moment of the wedding from that point on! My advice for couples planning their weddings would be to make sure to let go of all stress about how things will turn out by the day of your wedding because you need to be able to relax and enjoy yourself while you are getting ready and spending time with the wedding party to set the tone for the rest of your experience during the wedding, so you want to make sure and keep all other distractions to an absolute minimum.

Planning your wedding begins with a date and a venue. If you don’t have those two things you simply don’t have a wedding, right?! Once you have a wedding date in mind, you’ll begin exploring wedding venues in the area (which can be super fun). Be prepared though- since Arizona has gained a reputation as a destination wedding hot spot, the sheer number of wedding venues in the state can be overwhelming!

Don’t worry though, today we’re going to help with finding your perfect Arizona wedding venue.

Step 1: Take a moment to dream. Finding your perfect Arizona wedding venue starts with a quiet place, your beloved and your imagination. Talk about the type of wedding you’re dreaming of. Is it romantic and intimate? Is it grand and adventurous? Maybe you want an outdoor wedding ceremony or a reception with a view. Perhaps you share a love of art and want a venue that reflects that or you adore the vintage style and want a venue with rich history. There are a great number of wedding venues available in Arizona so knowing what you want and don’t want helps immensely when discussing your options.

Step 2: Discuss your budget and get a handle on your guest count. You don’t have to have a concrete number for either of these items but you must have a range that you’re planning to work with. You don’t want to waste your time fantasizing about a particular venue if their maximum number of guests is 75 and you expect to have no less than 150 attend. Similarly, if you tour a venue without doing your research, fall head over heels in love with it, and then discover your budget is way off the mark, you’ll be heartbroken. That’s no fun, is it? Be realistic and all will be well.

Step 3: Choose a few wedding dates and a general area that will work for you. If you have a definite date, start the process of finding your perfect Arizona wedding venue very early. Popular dates book quickly. If you can be flexible with your date, your options will be broader. Regarding location, if you know all your friends and family plan to stay or already live in the Scottsdale area, there’s no sense in looking at the far West side of town for a venue. Start by dividing the greater Phoenix area into quadrants- North, South, East and West. Once you know your quadrant, you’re ready to start digging in!

Step 4: Explore our wedding reception site guide. We provide a comprehensive list of all wedding venues in the Valley. It includes vital information such as contact info, maximum capacities, minimum costs, if there’s a ceremony site available, if you can use outside caterers and special features. Since the guide includes all the venues in the Phoenix/Scottsdale area, you’ll want to review it carefully. Feel free to write notes in it- we love that! Step 5: Pick a wild card. You’ll definitely receive advice from well-meaning friends and family about where and when you should get married. It’s important to consider their experiences but choosing to tour a venue that isn’t what anyone expects you to consider can lead to a pleasant surprise. You may happen upon a place that you feel an instant connection with or a venue may have changed dramatically since your parents or friends were engaged and it could end up being your ideal venue.

Step 6: Book tours and hit the open house circuit! Our website has 2 important and extremely helpful features: 1. You can search on our site by location or venue name and contact venues directly using our “Request information from…” feature and 2. We maintain an updated list of all the open house and wedding expo dates in the valley so you don’t miss a thing. Once you have your sights set on a few venues, set up appointments with each venue coordinator (at least 3) and have fun at the open houses and wedding expos you are able to attend BEFORE signing any contracts or paying a deposit.

If all else fails, or you just simply do not want to choose your wedding venue on your own, hire an expert to guide you. Anna and Ryan’s New England Southwest Wedding is a sight to behold…this couple, who lives in Rhode Island, chose Arizona for their wedding and was blessed with the most AMAZING sunset! Luckily, Elite Circle photographers Ben & Kelly Photography captured all the magic.

Bride Anna explains their vision for their wedding: …since so many people were traveling, many who had never visited Arizona, we wanted to introduce them to some of Arizona’s best. We also wanted the event to have a personal and energetic feel to it. 

People call us Fish and Ships because of our last names. #FishandShipsForever was our hashtag and my cousin who designed the invitation suite and signage incorporated that with our desert/rustic theme

New England Southwest Wedding Details: We kept our colors pretty simple and within the desert theme. The only colors in the wedding party attire were a dusty lavender and navy blue with the rest being shades of grey.

Favorite Moment: Two moments stick out for us. We didn’t do a first look, so when I was walking down the aisle, seeing him for the first time that day, seeing his excitement knowing it was all finally in motion and happening, while being surrounded by the beautiful desert and our beaming family and friends, it was the most loving feeling in the world. The second moment: being on the PACKED dance floor, looking around seeing everyone smiling, singing, dancing and genuinely enjoying themselves made us so happy and we felt truly celebrated by a fabulous, fun-loving group.

Two friends played the guitar at our ceremony. We were raised with different religious backgrounds, but each set of parents read a prayer or their choosing during our ceremony. Jane, a family member who also married my parents 34 years ago, knew us both so well and officiated the ceremony making it especially personal and special.

What was most important to you two as you planned your wedding? We wanted to maintain focus on what the day was really about: the celebration of our love and commitment. (emphasis on celebration–we’re all about having fun!) We were intentional about not stressing about the things we considered “over the top”. We set our priorities and tried to not let the bells and whistles get in the way.

New England Southwest Wedding Details: Part of our table-scape included our favors. We planted succulents in candle votives for everyone to take a home a little piece of the desert.We danced to the Hora and went up in the chairs to kick off the dance party. Guest enjoyed signature drinks, Cape Codder’s and Cucumber Margaritas, a taste of both New England and the Southwest. The entire night the dance floor was packed. Guests are still raving about the music and the delicious dinner!

Desert Botanical Garden has a luminaria event each winter and the colorful “decorations” made for the most stunning background!

Michelle and Matt’s romantic rustic wedding was set among the beautiful palm trees and Mediterranean architecture of Royal Palms Resort & Spa in Phoenix…their marriage was celebrated in a thoroughly unique ceremony that included champagne (how great is that?!), their beloved boxer Bobo, and a group declaration of their status as husband and wife. It was just the loveliest day!

Romantic Rustic Wedding Color Palette: Warm colors- cream, white, very pale pink and greenery!

Romantic Rustic Wedding Ceremony: The ceremony in the Palmera Patio was decorated with flower petals, floral arrangements that complemented the already beautiful locale, and metallic details for a touch of shine.

Favorite Moment: Our entire ceremony was my favorite part but most of all was when we pronounced us as husband and wife for the first time! It gave me chills and it was one of the best feelings to know we were officially married!

Favorite Detail: Our boxer, Bobo was part of our wedding! That was my favorite detail, as he was our pride and joy! Sadly he lost his battle with cancer…we are so lucky to have had him in pictures and know that he was such a special part of our day! He will always be a part of us! 
 
We must point out that Michelle and Matt had champagne at the ready- they actually walked down the aisle with glasses of bubbly! We are 100% on board with this idea and hope more couples do this!

Romantic Rustic Wedding Reception: We had rectangle wood tables with lace runners and candles, along with soft cream, ivory, blush flowers. The fireplace behind us (the sweetheart table) was lit and the mantle was draped with flowers and candles to go along with the other tables.

Unexpected Wedding Trends {Infographic}
